This directory lists 32 tools and services a self-managed HOA or condominium board might buy, in nine categories. Each row says what the tool is, whether a volunteer board can buy it directly, what the vendor publishes as a price, and the date we last read that price at the vendor’s own page. Eleven of the 32 publish no price at all.
What you get on this page. 32 vendors, nine categories, one row each. Every price was read first-party at the vendor’s own page, never taken from a review site, and every row carries the date of that read. What this page does not do: it does not score or rank anything, and it does not test the software. The scored comparison ranks the ten best-fit platforms against a published rubric, and the normalized pricing table converts published prices to a cost per unit per month at 25, 100 and 200 units.
What the whole table shows
- Eleven of the 32 publish no price a reader can see for their own service. Smartwebs, AppFolio, CINC Systems, Vantaca, Zego, ClickPay, Vote HOA Now, Reserve Advisors, Community Financials, LeapAP and Kevin Davis Insurance Services. Smartwebs had a $99-a-month starting price in July 2026 and withdrew it. Reading the page a board sees is not enough on its own either: AppFolio publishes per-unit figures only inside its page code, Neigbrs by Vinteum publishes its billing period only there, Condo Control shows a rate card only once the self-managed toggle is on, and QuickBooks ships higher prices in its server HTML than the page finally displays.
- Seven cannot be bought by a volunteer board at all. CINC Systems, Vantaca and LeapAP are sold to management companies. ClickPay onboards associations through their manager. Kevin Davis Insurance Services is a wholesale broker, and the Ian H. Graham program reaches you through a licensed submitting broker. AppFolio is quoted to professional managers and its entry tier carries a 50-unit minimum. An eighth, Enumerate, will sell to a self-managed board and publishes a minimum software cost of $500 a month, which is $6,000 a year before implementation.
- Three publish a tier that costs $0 and does not expire. KindHOA’s Good Neighbor plan, HOA Express’s free basic website for up to 50 households, and ElectionBuddy’s free election for up to 20 voters. A free tier still carries payment processing fees where dues are collected through it, and those are in the price cells below.
- Among the all-in-one platforms, published prices for a 25-unit association span roughly ten to one. About $237 a year at the bottom (Neigbrs by Vinteum Basic at $0.79 per unit a month, before an onboarding fee the vendor does not publish), then $300 (KindHOA Board Automation), $399 (RunHOA, flat, unlimited units), $468 (HOA Start Professional starting point), $588 (PayHOA), $810 (Condo Control), $1,080 (TownSq Pro) and about $2,388 at the top (HOALife at its starting point). That arithmetic is ours, not the vendors’, and it covers the subscription only.

How to read the price column
- “What the vendor publishes” means a figure on the vendor’s own site, found by reading the rendered page, the page markup and the links off the pricing page. Where all of those return nothing, the cell says none published. That is a statement about what the vendor publishes, not a claim about what it charges.
- A starting price is not a quote. HOA Start, HOALife, Buildium and Enumerate publish a floor and scope the rest against your community size.
- Payment processing is usually extra. Card and ACH fees, mailed letters, bookkeeping and tax filing are priced separately by most of the first group, and a board that collects $200,000 of dues online can pay more in fees than in subscription.
- Prices move. The date in each cell is the day we last read it. Confirm the current figure on the vendor’s page before you commit, and tell us if you find a difference.
- We have not tested these products. Every description here comes from vendor documentation and public sources. Where we have written a fuller assessment, the row links to it.
All-in-one platforms a self-managed board can buy
One system for dues, payments, records, communication and usually a website. This is the category most boards mean by “HOA software.”

What this directory leaves out
- Products we have not verified at source. This is every vendor in our own pricing database, not every product on the market. A tool missing from this page has not been judged and rejected; it has not been read yet. If you use one that is not here, tell us and it goes in the queue.
- Add-on prices vendors do not publish. Condo Control bills e-voting, virtual meetings, violations, a website and accounting integration on top of the rate card and prices none of them. Onboarding fees at Neigbrs by Vinteum and Enumerate are named and not priced.
- Reserve studies at professional depth. Both study firms here quote by proposal. For what a study involves and what it should cost, see the reserve study guide for small associations.
- Any judgment about which tool is best for you. That depends on your unit count, whether you collect dues online, and who keeps the books. The software match tool asks six questions and reasons it out in your browser, and nothing you answer is sent anywhere.
Do this next
- Work out which jobs you are hiring software for before you look at features: dues collection, records that outlive the current treasurer, communication, violations, or the annual election. A board that needs two of those often buys a tool built for the other three.
- Check whether you can buy it at all. Use the third column. Three of the platforms that rank well in search cannot be sold to you.
- Get the published price into the same units. The normalized pricing table does this at 25, 100 and 200 units, with the processing fees beside each figure.
- Score demos on one sheet. The free vendor comparison scorecard keeps the board comparing the same criteria across every product.
- Postpone the purchase if a spreadsheet still works. The dues tracker handles 250 units and 6,000 payments, and it costs nothing.
- Reuse this data. The price-transparency record behind this page is published as a free CSV and JSON in the HOA Software Pricing Transparency Dataset under CC BY 4.0. That file covers 30 of the 32 vendors here: QuickBooks Online and KindHOA were added to our database after it was built, and both publish a price, so its count of eleven vendors publishing nothing still holds.
Disclosure: no vendor paid to appear on this page, and no vendor sees it before publication.
